Dashboard

The first screen you see is the Dashboard. There are a few different items here, none of which you will need to interact with.

• Recent Entries: Collects recent activity from all Craft
• Craft News: Collects news from the Craft developers

Entries

This is where all the actual pages of ecuad.ca are listed. You do not have to go through Entries to access the pages you want to edit. See the next section: Access the Backend of a Page.

Assets

Assets are where all the PDF and image content you see on ecuad.ca is housed. Do not work with this folder directly; if you have access to Assets, you will access it from the page you¡¯re working on, not through this folder. See the Add PDFs section for an example of how to work with the Assets folder.

To edit a page, go to that page on ecuad.ca. Make sure you are logged in to Craft.

You'll see the Administer: Edit Entry link. Click this to be taken directly to the backend of the page.

In the backend of a page, just under the Title field, you will see an area called Content Matrix. This is where the content of the page lives. In the Content Matrix, content is placed in different fields called Blocks. There are several kinds of Blocks.

You'll mainly be using only the Subheading, Body and Accordion blocks. If you need to add buttons, contact info, graphic blocks, or have special content like videos and images that you¡¯re not sure how to add, please contact ITS.

There are two ways to add a Block to a Page.

1. Look for the + Add a Block pulldown

2. Go to an existing block and use the Actions wheel pulldown:

The subheading will style the text you enter into a bold headline.

Only use this at the top of a page.

The Body block is the most often-used block. Use this for general content. Within the Body block, you can apply bold, italic, bullets and other formatting. If you need to work in HTML or add Tables, please contact ITS for help.

Accordions are useful for splitting chunks of content into sections.

There are a couple of different ways to add links.

1. Linking to another page on the ecuad.ca website.

When you link to an existing page on ecuad.ca, link to that Entry rather than linking to the URL of that page. This is because if the page ever moves to another spot in the ecuad.ca menu, its URL will change. By linking to the Entry rather than the URL, Craft will know how to find it.

In your Body block, add the text you want to link to the other page. Then, highlight it and choose Link to Entry.

Craft will then open the Entries menu. Make sure you¡¯re in Pages, then select the page you want to link to. Once you select it, it will look like this:

Hit Insert and your text will now be linked.

2. Linking to a page outside the ecuad.ca website.

In your Body block, add the text you want to link to the other page.

This time, highlight it and choose Insert Link.

Type or paste the link in, then click Open Link in New Tab. Hit Insert.

As a general rule, when we are linking to pages within ecuad.ca we want the link to open in the same tab. When we are linking to a site outside ecuad.ca, we want the link to open in a new tab.

3. Link to an email address

You can also use the Insert Link block to add a clickable email address. Instead of a URL, type in mailto:name@example.com .

Not everyone has access to add PDFs. If you need to add a PDF and don¡¯t have access, please contact ITS.

In your Body block, type the text you want to link to the PDF.
Highlight it and then choose File.

This will open the Assets folder. Make sure you¡¯re in the PDF Attachments folder - see the gray sidebar. From here, you can choose the PDF you want to link.

If your PDF isn't already in this folder, you'll need to upload it. Use the Upload Files button.

• Upload the PDF from your local computer. This means from your desktop or your hard drive - make sure its there instead of on a department share.
• If you're replacing a PDF, make sure the new version has a different filename, otherwise Craft will get confused. A good practice is to add the date to the end of the file, eg "student-taxes-2022.pdf"

From here, you can select your PDF and attach it as needed.

Sometimes you may want to create a draft version of the page before you make it live. This is so you can come back to work on it later or have an updated version ready to launch on a future date or have someone else review it before you make it live.

Make your edits, then hit "Create a draft". You'll see the top buttons have changed; they now say "Apply Draft" and "Save Draft".

"Apply Draft" will make the page live.

"Save Draft" will add your draft to the list of versions. The pulldown arrow next to Save Draft will also allow you to choose "Save and Continue Editing", which will allow you to stay on this page rather than being sent back to the Dashboard.

Once you have saved your draft, select View to open your draft in a new tab.

You can share this draft with a colleague. Note the URL of this new tab. It is long and has the word ¡°token¡± in it. This is how you know it¡¯s only a preview link, not the live version. This preview link will expire in 24 hours. If your colleague has not looked at it by then, you will have to generate a new one, by opening your draft and hitting View again.

Preview will open the real-time editor window. It will show you the editing pane and the site side-by-side so you can view your edits as you go. You can also use this to view your work in different screen sizes, like mobile or tablet.

If you make edits in Preview, be sure to Close Preview and then Save once you've finished working.

Go to the page you had created a Draft for, then use Administer: Edit Entry to open the backend.

Use the Current pulldown to find and select your draft. You can then continue working on your draft if you like.

To replace the current live version with your draft, click the Apply Draft button. Don't forget to Save once more before you close out of the page.

If you need to roll back your page to a previous version, use the Current pulldown.

The Current pulldown will let you see previous versions of the page, and saved drafts of the page (if any exist). To revert to a previous version or draft, select the one you want and then select Revert Entry to This Revision.

If you have access to post events directly through the backend, and have several similar events, you can duplicate them rather than creating a new blank event every time!

1. Find the event that you want to duplicate.

Open the backend, then click Save as New Entry.

2. Craft will flash an "Entry Saved" message at the top of the screen.

Now, when you look at the slug, it will be the same as before but with a "-2" appended. The rest of the entry will look exactly the same as the original (and will be Enabled! Be sure to unenable if you're not yet ready to publish!)

3. Now, if you go back to Entries > Events, you'll see your original and your new duped event listed!

4. Go back to your duped event. You'll need to change the slug to something that makes more sense.

It's good practice to make sure your slugs can be read and understood by humans. So, in this case, I'll change the slug of my new event to reflect the new event date. You'll see I've also changed the Title of the event.

5. Go ahead and edit the rest of the event.

When you're ready to publish, make sure you've toggled the Enabled button to green. Then, hit Save and your duped event will be live!
